Thank you for your sponsorship of the Agile2010 Conference at the Walt Disney Dolphin Resort in Orlando, FL.

Our conference planning company, Elastic Communications & Events, will be managing the Agile2010 Conference on behalf of Agile Alliance again this year.  Elastic is responsible for the communication, management and fulfilment of your sponsorship benefits and will coordinate the logistics of your sponsor activities in Orlando. 

A separate email will be sent out individually to each sponsor by May 26th [sent to Sponsor contact] with details specific to your sponsorship.

Move-In

Scheduled exhibitor move-in will take place on Monday, August 9th from 9:00am – 3:00pm.

Exhibit décor - Freeman

Freeman is our exhibit décor partner for the Agile2010 and will be handling all exhibit booth details, equipment and supplies as well as shipping, freight and material handling. Their online system will allow you to customize your booth for the Agile2010 Conference. 

An email will follow from Freeman on the week of May 24th.  The following details will be included:

  • Additional Booth Equipment Rental
  • Audio Visual Rental
  • Customs Broker
  • Electrical
  • Internet Services – Internet Services can be purchased through Freeman
  • Shipping, Material Handling & Transportation
    • Freeman will accept crate, boxed or skidded materials beginning July 9th
    • Early Bird Shipping Deadline - July 23rd
    • Warehouse Shipping Deadline - August 2nd. Note: Materials arriving after DATE will be received at the warehouse with an additional after deadline charge.

Bag Inserts & Company Literature

Quantity

Please refer to Individual Sponsorship Email sent on May 26th regarding the quantity of bag inserts you are entitled to.

The suggested quantity for the number of inserts to include in your shipment is 1600 pieces.

Type & Size

A bag insert may be printed material or SWAG. Our suggested maximum size for a bag insert is 10" x 12" x ½".

In order to ensure all bag inserts are included in the bag, we require all sponsors to send us a description of the item you are including in the bag by July 16th.

Shipping

As mentioned above, Freeman will be managing all shipping, material handling and transportation. Please refer to email sent by Freeman – week of May 24th for specific shipping details and deadlines.

VERY IMPORTANT:

All bag insert/company literature to go into the conference bag must be – Clearly marked FOR AGILE BAG using the shipping label found in the Freeman online website.

Note: Conference Bags will be collated on Sunday, August 8th. Booth setup does not begin until Monday morning. We will not be responsible for items which are not shipped properly. See above & Freeman email for shipping details and deadlines.

Please refer to individual email sent to your sponsorship contact [as indicated on your sponsorship agreement] for details regarding your available complimentary registrations as well as your complimentary registration code.

Note: All complimentary registrations give full access to the Agile2010 Conference. There are no booth only passes.

The deadline to register all complimentary sponsor registrations is July 16th.

Process

To secure your Complimentary Conference Registration as a sponsor

  • Go to agileregistration.org and click on "Registration".
  • Pleas ensure you register as a SPONSOR.
  • To secure your complimentary conference registration, please enter your discount code during Step 1 of the registration process.
  • Your Complimentary Discount Code was emailed along with your Individual Sponsor Details

DEADLINE: Your speaker discount code is valid until July 16th. Note: When registering, please be sure to indicate a fee type (Member/Alumni, Non-Member, Academic) because we need this information for our demographics – you will not be asked to make a payment.

Please follow the instructions below to upload your advertisement to our storage site.

The Deadline to upload your advertisement is June 25th

  • Please name your files using the following naming convention. "CompanyNameAdvertisment" 
  • Booth numbers will not be displayed onsite. Do not include your booth number in your advertisement.

Logo Placement(s):

Logos will be used for sponsor recognition in the Conference Program Guide, T-shirt and marketing materials onsite.

We require both a COLOR version and a ONE COLOR version of your company logo. Uploading Instructions

Details: As part of your sponsorship benefits, you are entitled to one email message sent to Agile2010 attendees on your behalf. See below for guidelines regarding the email

  • Must be in html and/or plain text format
  • Must include you company name and physical mailing address in the text of the email
  • Must be 512KB or less
  • Please test in all intended recipient formats. We will not run test emails.
  • Deadline: Your email must be sent to Phil Brock via email anytime before the conference or within 30 days after the end of the Agile2010 Conference.

EVENT SPACE AVAILABLE FOR SPONSOR EVENTS
